How to write Claude prompts for gym owners

Claude reads your records through MyGymDesk, so a prompt needs no background and no numbers. It needs the right names. Four habits cover most of it:

  • Use the names MyGymDesk uses: the member's name or member code, the class as it appears on your schedule, the branch, and the bill number for a reminder.
  • Say when: “tomorrow's 7am”, “on 9 October at 6pm”, “last month” or “the next 7 days”.
  • Add the reason to a freeze or a cancelation, the way you would tell your manager, such as “traveling” or “trainer unwell”.
  • When you are unsure, ask for the preview alone: “Show me a preview, don't make the change yet.”

Switch MyGymDesk on for the chat first, from + → Connectors. If you use Claude for other work too, keep gym questions in a chat of their own so the answers are easy to find later.

Prompts for opening up

Run these before the first batch arrives. Each answer comes from today's records, on your gym's own clock.

  • “What does today look like at my gym?” Today's check-ins, who is in now, class bookings, personal training and revenue.
  • “What classes are on tomorrow and how full are they?” Each session's time, class, trainer and booked places, with any waitlist.
  • “Who has a membership ending in the next 7 days?” Memberships and packages not renewed yet, with any dues.
  • “Which staff are in today?” Staff who checked in, who is in now and who has left, with no pay details.

Prompts for follow-ups and new inquiries

Sales work is mostly remembering to call back. These prompts note the call and set the next one in the same breath; the one at the top of this page closed Sowmya Rao's follow-up and booked the next call.

  • “Show my hot leads.” Open leads, new leads this month and follow-ups due, then the hot leads by name and status.
  • “Log that I called lead Rajat Khurana: interested, call back Friday.” Once you say yes to the preview, the response is logged, the follow-up closed and the next one set.
  • Add a lead with a name, phone number and branch. In our run, Claude previewed the lead, then added it, and nobody was messaged.

Prompts for memberships

Extensions and freezes change what a member has paid for, so read the new end date in the preview before you answer “Shall I go ahead?”. These two ran in Claude on Ironline Fitness, a demo gym in Bengaluru, on 5 Oct 2026:

Prompts for the class schedule

Adding a class and canceling one both wait for your yes to “Shall I go ahead?”. Give a cancelation preview the closer read, because canceling messages everyone booked into the session.

  • “Schedule Yoga Flow Mon/Wed/Fri at 5pm for 4 weeks at Indiranagar.” One preview lists every date, with closure days skipped and listed, and one approval creates the whole series.
  • “Add a Strength Circuit class tomorrow at 5pm at HSR Layout.” The preview shows the time, branch, trainer and places, and says nobody is messaged.

Prompts for month-end

At the end of the month the useful questions compare one period with another. These read the same figures as your Reports screens:

  • “Show last month's revenue by payment mode.” Revenue against the previous month, what it was paid for, and how it came in.
  • “What were our expenses and profit last quarter?” Expense totals by category, revenue, profit and margin.
  • “How many PT sessions did each trainer deliver last month?” Delivered sessions and no-shows per trainer, plus what is booked for the next 7 days.
  • “Which renewals are coming up and who might not renew?” Renewals in the next 30 days, and the members among them who have stopped visiting.
  • “When are our busiest hours this month?” Check-ins by weekday and by hour.

Connect MyGymDesk to Claude

  1. In Claude, open Customize → Connectors and find MyGymDesk in the directory.
  2. Choose Connect and sign in with your MyGymDesk login.
  3. Pick your gym if asked, then choose Approve.
  4. In a chat, switch MyGymDesk on from + → Connectors.

Frequently asked questions

Where do I type these prompts?

In any Claude chat with MyGymDesk switched on, from + → Connectors. Connect MyGymDesk once first, from Claude's directory or as a custom connector.

Will Claude ask before every change?

Yes. MyGymDesk ends every preview with “Shall I go ahead?” and makes no change until you say yes, whether it is a check-in, a new lead, a freeze or a payment reminder. Claude can add its own approval card before a tool runs as well, unless you set that tool to Always allow.

What if I get a member's name slightly wrong?

Member lookup searches by name, member code or phone number. If several members match, Claude is given the matches so you can pick the right one, and the member code always finds exactly one.

Do the prompts work across branches?

Yes. Name the branch, such as “at HSR Layout”, to narrow a question or to place a booking or class. Leave it out of a question to cover every branch your login can see.
