Run your gym front desk from Claude
A Claude gym front desk setup lets your reception team work in plain words. Connected to MyGymDesk, Claude checks members in, looks up a member's plan and dues, books classes and adds walk-in inquiries as leads. Each change is previewed first, and every staff member signs in with their own login and permissions.

What a Claude gym front desk handles
The front desk does the same handful of jobs all day. With MyGymDesk connected, Claude can do each of them from a chat on the desk computer, in the receptionist's own words. The examples ran in Claude on Ironline Fitness, a demo gym in Bengaluru, on 5 Oct 2026.
Checking members in
When the queue builds or a member has forgotten their phone, type the name. The preview shows the member, the time and the branch, then asks “Shall I go ahead?”. The check-in is made once the receptionist says yes, and nobody is messaged.
Answering “Am I paid up?”
A member lookup gives one member's plans and class packages, end dates, sessions left, dues, last visit and visits in the last 30 days. It finds members by name, member code or phone number, and it never shows the phone number back.

Booking a class
A member asking for a place in tomorrow's class can be booked while they wait. The preview shows the session and the places left, and says the member will get the usual booking confirmation.

Taking a walk-in inquiry
Someone asks about membership and leaves a number. Add them as a lead before they reach the door, with the branch, so the sales follow-up has a name to call. The lead is not messaged, and its phone shows only as the last four digits.
Each desk login sees its own slice
Every receptionist connects Claude with their own MyGymDesk login, so Claude can do at the desk exactly what that person can do in the dashboard. A role without the “Check-in Members” permission can't check anyone in through Claude either, and a role that can't see reports gets no revenue figures.
Branches work the same way: the connector covers the branches the login can see, and the owner sees every branch. Staff who see only their own leads in MyGymDesk get only their own leads in Claude.
The owner sets all of this once, in Settings → Roles & Permissions, and the same roles apply in the app and in Claude.
A preview and a yes before every change at the desk
Every change at the desk asks first, with no exceptions. Claude previews the check-in, the booking or the new lead, the preview ends with “Shall I go ahead?”, and MyGymDesk makes the change only after the receptionist says yes. Claude may also show its own approval card, unless the tool is set to Always allow in Claude's tool permissions.
If the desk is busy, you can set check-ins, bookings and new leads to Always allow in Claude, so Claude's own card stops appearing for them. MyGymDesk's question stays on every change, so a one-word yes still comes before each check-in. Either way, a preview works once, within 10 minutes, so a double click never books a member twice.
When a member pays at the desk
Payments are recorded in the MyGymDesk app, where the bill, invoice and receipt are created together. When we asked Claude to record a cash payment for Kavya Hegde, it said payments can't be recorded here and pointed to the app, without looking anyone up.
Refunds, discounts, freezes that carry a fee and canceling a membership stay at the counter in the app too, where the member's full record is in front of you.
Setting up Claude at the front desk
Setup takes a few minutes per person:
- Give each receptionist their own MyGymDesk staff login, with the role you want them to have.
- Each person connects MyGymDesk in their own Claude account, from Customize → Connectors, and signs in with their own MyGymDesk login.
- On a Claude Team or Enterprise plan, an Owner can add MyGymDesk once for the organization first; staff then connect with their own logins.
- Switch MyGymDesk on in the chat the desk uses, from + → Connectors.

Connect MyGymDesk to Claude
- In Claude, open Customize → Connectors and find MyGymDesk in the directory.
- Choose Connect and sign in with your MyGymDesk login.
- Pick your gym if asked, then choose Approve.
- In a chat, switch MyGymDesk on from + → Connectors.
