Why dues and renewals slip
Money rarely slips away at the counter. It slips in part payments nobody followed up, in renewals that ended on a busy Saturday, and in members who stopped coming two weeks before their plan ran out. The numbers are all in your gym software; the hard part is finding the time to look every day.
A chat turns the daily look into one or two questions. Ask who owes money, whose plan ends this week and who has gone quiet, and ChatGPT reads the answers from MyGymDesk. Then, in the same chat, you can send the reminder or extend the plan, with a preview before anything happens.
ChatGPT for gym dues and renewals, step by step
The examples below are real answers from Ironline Fitness, a demo gym in Bengaluru, run in ChatGPT on 5 Oct 2026.
1. See who owes money
Dues outstanding gives the same list and total as the Payment Due list in MyGymDesk's Reports, oldest first, so the longest-pending amounts come up before the newest ones.

ChatGPT listed the 8 members who owed money as of 5 Oct 2026, oldest first, from Omkar Joshi (due since 30 Aug) to Dev Arora (due since 1 Oct), each with the amount and the date it had been due since, under the total.
2. See whose plan ends soon
Expiring soon lists memberships and class packages that end in the next 1 to 31 days and haven't been renewed yet, soonest first. If the member also owes money, the amount sits on the same line, so one call can cover both. On the demo gym, “Which memberships end in the next 7 days?” returned 8 of them, and none had an amount outstanding.
3. Spot who may not renew
Renewals and churn risk takes the renewals due in the window you choose, up to 31 days ahead, and flags the members who have also stopped visiting, using MyGymDesk's own “at risk” rule: no visit for 14 days or more. Those are the renewals worth a personal call.

Currently, no members are flagged as likely to lapse. There are 42 renewals due in the next 30 days across 35 members, including 8 due within 7 days, but none of those members have also been inactive for 14+ days.
4. Send the reminder
When a member needs a nudge, ask for a payment reminder for that bill. ChatGPT previews it first: the member, the bill, the amount and the channel. Like every change made through the connector, it stops and asks before sending. The screenshot at the top of this page is that question.

5. Extend or freeze when that is the fair call
Sometimes the right answer is more time: a member who was unwell, or one away for work. An extension moves the end date. A freeze pauses the membership and moves the end date too; class bookings inside the freeze are canceled, and the member is emailed the confirmation when an address is on file. Freezes without a fee are made from ChatGPT, and a freeze that carries a fee is set up in the app. Both stop at “Shall I go ahead?”.

ChatGPT previewed the freeze and asked “Shall I go ahead?”. A “No” stopped it, and ChatGPT confirmed the membership had not been frozen. A later “yes” used the same preview: the membership was frozen from 4 to 11 Oct, with no fee.
Why reminders and extensions wait for your yes
A reminder messages a member, and an extension or a freeze changes what they have paid for, so you want to see the effect before it happens. MyGymDesk asks first on every change it makes through ChatGPT, these included: the preview spells out the effect, such as the new end date or the fact that nobody will be messaged, and the change happens only after you say yes. Say no, and nothing changes.
Each preview can be used once, within 10 minutes. If something it showed changes in the meantime, such as the amount owed, MyGymDesk refuses the old preview and a fresh one is needed.
ChatGPT may add its own approval card as well, depending on your ChatGPT settings. Then a change takes two confirmations: MyGymDesk's question and ChatGPT's card.
Collecting the money stays in MyGymDesk
A payment reminder is your usual reminder message about one unpaid bill. It creates no payment link and charges nothing.
When the member pays, record the payment in MyGymDesk as you do today. The bill, the invoice and the receipt are created there, and the next “Who owes money?” shows the change. More on billing and invoicing.
Messages to many members at once also stay in MyGymDesk. Your automatic renewal and dues reminders keep running from WhatsApp automation, whether or not you ask ChatGPT anything that day.
