Connect MyGymDesk to ChatGPT

The MyGymDesk app lets a gym owner or staff member ask ChatGPT about their own gym in plain language. It can also make a small set of changes that their role already allows, and it shows each change as a preview first. ChatGPT signs in to MyGymDesk as you, so it sees only what your own login can see.

Before you start

  • A MyGymDesk login, as the owner or a staff member, at a gym where the AI connector is enabled. The AI connector is included on Pro and Enterprise; Starter and Growth can add it. If it is not enabled for your gym, ChatGPT tells you so, and the account owner can switch it on in MyGymDesk.
  • A ChatGPT account with developer mode available in its settings.

Connect with developer mode

  1. In ChatGPT, open Settings and turn on developer mode.
  2. Add a new app (connector). Name: MyGymDesk
  3. URL: https://mcp.mygymdesk.com/mcp
  4. ChatGPT opens MyGymDesk's sign-in page. Sign in with your MyGymDesk login. If your login works at more than one gym, pick the gym under Which business?
  5. Choose Approve. You return to ChatGPT, connected.
  6. Start a chat with MyGymDesk added, and ask your first question.

The ChatGPT app directory

The MyGymDesk app is coming soon to the ChatGPT app directory. The server URL, the sign-in and everything on this page stay the same however you add it.

What you can ask

  • Today at a glance: check-ins, who is in now, class bookings, personal training and revenue.
  • One member: their plans and packages, end dates, sessions left, dues and recent visits.
  • Memberships and class packages ending soon that have not been renewed.
  • Who owes money, and how much.
  • Members with an active plan who have stopped coming.
  • Attendance by day, weekday and hour, including your busiest hours.
  • Revenue and collections by payment mode.
  • Payments received in a period, or one member's payment history.
  • Leads, conversions and the follow-ups due today or overdue.
  • Renewals coming up and members likely to lapse.
  • Member counts by status, plan and branch, new members and who is frozen.
  • Expenses by category, profit and margin, if your gym tracks expenses.
  • The class schedule, with bookings and waitlists, for a day or up to 14 days.
  • Personal training delivered and booked, by trainer.
  • Staff who checked in today and who is in now.
  • Which biometric devices are online.

Each answer follows your role's permissions, and a question about a period can cover up to 24 months. Try:

  • "What does today look like at my gym?"
  • "Which memberships end in the next 7 days?"
  • "Show last month's revenue by payment mode."

Changes it can make

Each change takes two steps. ChatGPT first shows a preview of exactly what would change: who, what, before and after, and who is told. The preview changes nothing and ends with the question "Shall I go ahead?". Only after you say yes does ChatGPT make the change. A preview can be used once, within 10 minutes, and nothing is ever done twice.

  • Book a member into a class.
  • Schedule a class session, or a weekly series of sessions.
  • Check a member in.
  • Add a lead.
  • Log the response to a lead or member follow-up.
  • Cancel a class session. Its bookings are cancelled with no penalty, and booked members get a notice.
  • Send one member a payment reminder.
  • Extend a membership.
  • Freeze a membership, when the freeze carries no fee.
  • Submit a WhatsApp message template to Meta for approval, for a gym that sends WhatsApp from its own number. The template is not sent to anyone.

Every one of these asks first, with no exceptions: booking a class or checking a member in waits for your yes, just as cancelling a class or sending a payment reminder does. Say no, or ask for something different, and nothing changes.

What stays in the MyGymDesk app

  • Payments, refunds, discounts and voids, and creating or editing bills and invoices.
  • Full member lists and exports.
  • Anyone's pay, bank or ID details, passwords and other credentials. Staff costs appear only as an expense category's total.
  • Deleting records.
  • Cancelling memberships, freezes that carry a fee, messages to many members at once, and changes to staff or settings.

The gym always comes from your sign-in, never from what you type in a question. When you ask for one of the jobs above, ChatGPT points you to the MyGymDesk app.

Permissions and approvals

  • It acts as you. It sees only what your own role and branches can see, and each change needs the same permission it needs in the dashboard. For example, a receptionist without the "Check-in Members" permission can't check a member in through ChatGPT either.
  • The owner sets what each staff role can do in Settings → Roles & Permissions.
  • ChatGPT can also show its own approval card before a change, with choices such as Allow once, Always allow and Deny. Whether it does depends on your ChatGPT settings for the app. The card is a second confirmation; MyGymDesk's "Shall I go ahead?" comes with every change either way.

Disconnect

There are two ways:

  • In ChatGPT: open Settings and remove the MyGymDesk app.
  • In MyGymDesk: open Connected AI apps at app.mygymdesk.com/oauth/connections and choose Disconnect. This ends the connection at once: ChatGPT can no longer reach your gym. It lists the connections made with your own login.

You can connect again at any time.
