MyGymDesk class operations

Class booking software for gyms and studios

Publish your fitness timetable and let members choose an eligible session from their portal. MyGymDesk links the booking to the member, the class and the instructor, with recurring schedules and participant limits controlled by your team.

Give reception the context it needs

Taking bookings in a chat leaves reception to count replies, check entitlements and explain changes. A structured booking record gives staff a dependable roster while members can check availability themselves. Start with one regular class and test the rules before adding your full timetable.

01

Configure a repeatable timetable

Create the class type, select an instructor and define the recurring pattern. Review the generated sessions and their times so staff and members work from the schedule you intend to publish.

02

Control how many members can book

Choose a participation ceiling for each class. Use a smaller limit for equipment-based sessions and a different limit for open-floor groups. Capacity applies to the scheduled class, not to a seat map.

03

Put booking tools in the member portal

Members can find available sessions, place bookings and manage changes within the configured rules. Staff retain access to the booking records when someone needs help at reception.

04

Handle demand after a class fills

Enable a waitlist for the class so interested members can join the queue. Test the release of a place during setup, including cancellation and rescheduling, so your staff understand the resulting booking status.

05

Keep attendance attached to real people

The member record brings subscriptions and attendance into the same account. Use recorded participation to resolve questions about class packages and to decide which members need a personal follow-up.

06

Extend a class to remote participants

With Online Sessions enabled, connect your Zoom account and configure an online session. Members with a booking access the meeting through their member experience; review the relevant plan or add-on first.

Set up a workflow your team can check

01

Create one representative class

Choose a real format, time, instructor and capacity to use during setup.

02

Book as a test member

Check eligibility, availability and the upcoming-booking view from the member side.

03

Walk through an exception

Try a full class and a cancellation, then verify the roster before publishing more sessions.

Before you move your schedule

Is a recurring timetable supported?
Yes. MyGymDesk supports recurring class schedules with instructor assignments. Review the scheduled occurrences when you configure a new series.
Do members need to call to reserve a class?
Members can make eligible bookings through their portal. Your reception team can help with questions using the same class and member records.
Can our equipment-based class have a smaller group?
Set its participant limit to the number appropriate for your equipment and staffing. The limit controls class participation and does not allocate specific equipment.
Can a member move an existing booking?
Member booking tools include cancellation and rescheduling within your configured rules. Rehearse the workflow during setup to confirm the behaviour you want.
Which types of business can use these bookings?
Gyms with group training, yoga businesses and Pilates operators can use the class schedule. Match the class type, participation limit and member entitlement to the format you teach.
How can we try this with our own setup?
Create a MyGymDesk account for a 14-day trial. Review current feature access and plan limits, then test your schedule with a small set of records before moving your regular operations.
