Google Meet integration for online classes and PT

MyGymDesk connects your own Google account and creates a Google Meet meeting for any class or PT session you mark as Online. Connect once through Google’s consent screen; a Google Workspace or a personal Gmail account both work. Booked members get a Join button that opens 15 minutes before the session, and they join without waiting for a host.

What you can do with it

Meet links created automatically for online sessions

Mark a class or PT session as Online and MyGymDesk creates a calendar event with a Google Meet link in your own Google account within a few minutes. Nobody copies a link into a booking by hand.

Members join without waiting for a host

Every meeting MyGymDesk creates is set so that anyone with the link joins straight away. Members and trainers never get stuck at “Asking to join”, and members do not need a Google account.

One link for a recurring class series

A recurring online class becomes one recurring calendar event, so the same Meet link works every week. Move or cancel one session and the rest of the series keeps its link.

Your own calendar stays private

MyGymDesk creates a calendar called “Online sessions” in your Google account and only works with the events on it. It cannot see your other calendars, and members are never sent Google invitations.

Switch between Zoom and Google Meet

Choose which app makes the links for new online sessions in Settings → Integrations → Online Sessions. Links already sent keep working with the app that made them.

How to set it up

  1. 1Sign in as the business owner. Staff accounts cannot connect or disconnect Google.
  2. 2Open Settings → Integrations → Online Sessions, then the ‘Google Meet’ sub-tab.
  3. 3Click ‘Connect Google’. Google’s own consent screen asks to see your email address, to make a secondary calendar and manage the events on calendars MyGymDesk creates, and to change the settings of your Google Meet meetings. Allow all three: a connection missing one of them is refused.
  4. 4Google returns you to MyGymDesk, which creates the ‘Online sessions’ calendar. The card shows the connected account, whether it is a Google Workspace or a personal account, and the calendar.
  5. 5Under ‘Meeting links come from’, choose Google Meet. Online sessions created from then on get a Meet link.
  6. 6Create or edit a class or session and set Delivery mode to Online — or, for personal training, set Session mode to Online when assigning a package or booking a session. Save, and the meeting is created in the background.
  7. 7To remove the integration later, click ‘Disconnect Google’ on the same card and choose whether to also remove the upcoming Meet links MyGymDesk created. You can equally remove MyGymDesk from the third-party access page of your Google Account.

Important notes

  • Meetings are created when you schedule the session, not when it starts. A background job picks up the change every five minutes, so the link normally exists within a few minutes of saving.
  • Members see a Join button that becomes active 15 minutes before the start time, and only members booked into that session get the link. The meeting itself is open: anyone with the link joins without a host.
  • Trainers open the meeting from their own schedule with an ‘Open Meet’ button, from the same 15-minute mark. The assigned trainer, the owner, and staff holding the “Start Online Sessions as Host” permission get the button. Because the meeting is open, members can get in even before the trainer arrives.
  • A personal (free) Google account ends calls with three or more people after 60 minutes. MyGymDesk says so on the connection card and warns you while you schedule a longer online class; one-to-one PT is not affected. A Google Workspace account lifts the limit.
  • Rescheduling updates the existing event, so a link you have already sent keeps working. Cancelling one session removes it from the series; cancelling the last remaining online session in a series removes the event.
  • Make changes to online sessions in MyGymDesk rather than in Google Calendar: MyGymDesk keeps the events on the “Online sessions” calendar in step with your schedule.
  • When you disconnect, you choose whether to also remove the upcoming Meet links MyGymDesk created; by default they stay in your Google Calendar and keep working. The Google tokens MyGymDesk stored are deleted either way.

Frequently asked questions

Does it work with a personal Gmail account?

Yes. A personal Gmail and a Google Workspace account both work, and members join without waiting for a host either way. On a personal account Google ends calls with three or more people after 60 minutes, so a Workspace account suits longer group classes; one-to-one PT is not affected.

What can MyGymDesk see in my Google account?

Only what the consent screen lists: your email address, the “Online sessions” calendar MyGymDesk creates and the events on it, and the settings of your Meet meetings, which it uses to let members join without a host. It cannot see your other calendars or events, your email or your Drive.

Do members need a Google account?

No. Members tap the Join button in the app or the link in their reminder, and the meeting opens in the Meet app or a browser without signing in to Google.

Can I use Zoom and Google Meet at the same time?

One at a time: you choose which app makes the links for new online sessions, and you can switch whenever you like. Sessions that already have a link keep it, so nothing you have sent to members breaks when you switch.

How do I remove the Google Meet integration?

In MyGymDesk, go to Settings → Integrations → Online Sessions → Google Meet and click Disconnect Google; you choose whether to also remove the upcoming Meet links. Or remove MyGymDesk from the third-party access page of your Google Account. Either way MyGymDesk stops creating meetings.
