Free Gym Management: Member & Fee Register — Privacy Policy

Free Gym Management: Member & Fee Register is a free browser extension for Google Chrome and Microsoft Edge made by MyGymDesk (Mygymdesk Technologies Private Limited, Hyderabad, Telangana, India).
The short version
Your members, fees and payments stay on your own computer: the extension never sends them anywhere. If you choose to set up your gym (free), the details you type into that form are sent to MyGymDesk, with your consent, so we can offer free setup help and send tips.
What the extension stores, and where
- Your members: name, phone number, join date, plan, fee, plan start and expiry dates, and notes.
- Payments you record: date, amount, payment mode, receipt number and note.
- Your gym profile and settings: gym name, owner name, city, address, phone, GSTIN line, logo, receipt prefix, message templates and fee reminder window.
- A random install ID created when the extension is first opened, and whether you have set up your gym.
All of it is saved in the browser's local storage for extensions (chrome.storage.local) on the computer where you use the extension. It is not synced to your Google or Microsoft account. Your members and payments are never uploaded anywhere.
What we collect: gym setup
The extension has no analytics, no tracking, no cookies, no advertising identifiers and no crash reporting.
The only thing it sends is the Set up your gym form, and only after you tick the consent box ("Share these details with MyGymDesk so we can offer free setup help and send tips. We won't share them with anyone else.") and press the button:
- your name, your gym's name, your mobile number and city, and, if you choose one, roughly how many members the gym has;
- the install ID, so that changing your details later updates the same record instead of creating a new one;
- when you gave consent and which version of the consent text you agreed to;
- the extension's version.
Why: to offer you free setup help and send you tips about running your gym and about MyGymDesk (by phone, WhatsApp or SMS). Setting up unlocks the dashboard, WhatsApp reminders and sharing, and your logo and address on receipts; everything else in the extension works without it.
Where it is stored: in MyGymDesk's database (Supabase, Mumbai region) as a sales lead, and in MyGymDesk's sales CRM. To stop abuse, the server also keeps a keyed one-way hash of your internet address to allow at most 5 registrations per hour; the address itself is not stored.
Who sees it: MyGymDesk's team. We don't sell it and we don't share it with anyone else.
Deleting it: email support@mygymdesk.com and ask us to delete your gym setup details; we delete them from our database and CRM. Removing the extension does not delete details you already shared, so write to us.
Network access
The extension's content security policy allows exactly one connection: to https://db.mygymdesk.in, used only for the gym setup form above. If you are offline when you send it, the extension tries again the next time you open the register. The browser itself blocks any other request.
Apart from that, something leaves the extension only when you click a link:
- mygymdesk.com (MyGymDesk's website, sign-up and login pages) opens in a new tab, like any link. Those pages are covered by MyGymDesk's privacy policy.
- WhatsApp. "Remind" and "Share on WhatsApp" open a
wa.melink in a new tab. The link carries the member's phone number and the message text, so WhatsApp can open that chat with the message typed in. Nothing is sent until you press send in WhatsApp, and WhatsApp's own privacy policy applies there. Where your computer offers a share sheet, "Share on WhatsApp" hands the receipt PDF and message to it instead, and you choose where it goes. - "Rate us" opens this extension's page on the Chrome Web Store or Microsoft Edge Add-ons.
Permissions
- storage: to save your register on your computer.
- unlimitedStorage: so a large register with years of payment history does not run into the browser's default storage limit.
The extension cannot read the websites you visit, your tabs, your history or any other browsing data.
Files you export
CSV files, receipt PDFs and backup files you download are saved where you choose on your computer. A backup file holds your whole register (members, payments, settings and your logo), so keep it as safely as the register itself. They are yours to keep, share or delete.
Your members' information
You decide what you record about your members, and it stays on your computer. Keep the computer and your exported files secure, and delete a member's details when you no longer need them.
Deleting your data
Use Settings → Delete all data in the extension, or remove the extension from your browser: both delete the register from your computer. Clearing your browser's site data deletes it too. The extension offers a CSV export before deleting anything.
Changes to this policy
If a future version of the extension ever needed to collect any data, we would say so here and in the store listing before releasing it, and update the date above.
