Yes. Gym software can handle the repeatable parts of new member onboarding: sign-up and payment before day one, booking a trial class, WhatsApp reminders for fees, renewals and classes, getting the member app installed, workout plan drafts for trainers to review, and a check-in record that shows who has gone quiet. People still do the parts that build loyalty: the trainer introduction, the first floor walk and the call when someone stops coming. The software keeps a record of which steps each new member has had.

The first month matters because habits form early. A member who trains regularly in the first few weeks has a routine to protect at renewal time. One who comes twice and drifts away has nothing pulling them back.

This post walks through the first 30 days in order: the day before joining, the first visit, weeks one and two, and day 30. It ends with welcome message templates you can copy and what new members actually want from a gym app.

What should happen before a new member's first visit?

Before the first visit, the member should already be signed up, paid and booked into a trial class or first session, so day one starts on the floor instead of at the counter. A self-serve page makes this possible: a web page where the person fills in their details, pays online and books a trial class from their phone.

For someone still deciding, book the trial class first and take payment after it. Give a trial visitor the same welcome message and trainer introduction as a paying member. If the trial goes well, the joining conversation is short.

The evening before, the desk runs a short checklist:

  • Check the new member's profile: phone number, emergency contact, plan and start date.
  • Pass any injuries or health conditions from the joining conversation to the trainer.
  • Assign a trainer for the first session and tell them the member's name and time.
  • Send the welcome message on WhatsApp (template below).
  • If the gym uses biometric access, keep a few minutes free at the desk to enrol the fingerprint or face before the member heads in.

How should a new member's first visit go?

The first visit should cover four things before the member touches a weight: check-in set-up, the app on their phone, a proper trainer introduction and a starting plan. Done in that order, they take one short conversation at the desk and a walk around the floor.

  1. Check-in set-up. Enrol the fingerprint or face on the device, or show the member how to scan the gym's QR code. Test it once while they are still at the desk.
  2. The member app. Install it with them, log in together and show where the membership end date is and how to book a class. Our post on setting up the member app and portal covers the gym's side of the set-up.
  3. Trainer introduction. Introduce the member by name to the trainer for their batch. The trainer asks about goals, past injuries and which batch they will usually attend.
  4. A starting plan. Give a first-week workout plan written for this member's goals. Software that drafts plans from the gym's own library saves trainers time, as long as a trainer reviews each workout and diet plan draft before the member sees it.

End with a floor walk: where to keep bags and bottles, which hours are quietest, and whom to ask for a spotter on heavy lifts.

What should weeks one and two look like?

Weeks one and two are about building a habit, so the aim is regular, comfortable visits. Software helps by showing each new member's check-in pattern, meaning how often and how regularly they visit, and by sending class and fee reminders so nothing depends on memory.

Week one

Send a short message after the first workout asking how it went. On the second or third visit, the trainer should find the member on the floor, check the plan is working and adjust it. If the member enjoys group training, book them into a class during week one, while their motivation is high.

Week two

Week two is when office deadlines and travel start to interfere. When a gap appears, the desk sends the missed-you message (template below) and the trainer follows up in person. If week two falls in the monsoon or the run-up to Diwali, expect gaps and send the missed-you message a day sooner. It also helps to introduce the member to one or two regulars in their batch.

The table below is an illustrative check-in pattern to watch. Set your own thresholds from what your regular members do.

Point in the first 30 daysHealthy sign (illustrative)Early warning (illustrative)What to do
Week oneTwo or more visitsOne visit, or none after day oneTrainer calls or messages within a day
Week twoVisits on similar days or in the same batchA gap of five days or moreDesk sends a missed-you message
Weeks three and fourSteady weekly visitsFewer visits each weekTrainer call and a plan review
Day 30A routine the member can describeFewer visits than in week oneOwner or manager call before renewal

Our post on why members go inactive after three months shows where these early warnings lead if nobody acts on them.

What should you check on day 30?

On day 30, check the member's visit pattern and goal progress, and confirm the renewal date. A five-minute conversation, in person or by phone, does more here than any automated message.

  • Compare the month's visits with week one.
  • Ask one open question, such as "What would make the gym better for you?", and note the answer in their profile.
  • Review the plan with their trainer and agree the next month's goal.
  • For monthly members, confirm how they will pay, so the renewal reminder is not the first they hear of it.
  • If they are happy, ask whether a friend or colleague might like to join them. A friend in the same batch is one more reason for both to keep coming.

Which welcome WhatsApp messages should a new member get?

A new member should get a short sequence of WhatsApp messages: a welcome the evening before the first visit, a check-in after the first workout, a nudge if they go quiet and a note at day 30. Send them only to members who have opted in to WhatsApp messages, and sign each one with a real name.

Copy and adapt these. Keep a Hindi or regional-language version if many of your members prefer it.

Welcome, the evening before the first visit

Hi [Name], welcome to [Gym name]! Your first session is tomorrow at [time] with [Trainer]. Bring a towel, a water bottle and clean indoor shoes, and come 10 minutes early so we can set up your check-in. See you tomorrow. [Your name], [Gym name]

After the first workout

Hi [Name], great to have you in today. How are you feeling? A little soreness tomorrow is normal. Reply here if any exercise from your first session felt too hard, and [Trainer] will adjust it. Tell us too if anything hurts, or if another batch timing suits you better.

Missed-you nudge, after a gap

Hi [Name], we haven't seen you since [day]. All well? If the [time] batch isn't working for you, tell us what suits you and [Trainer] will plan around it.

Day 30

Hi [Name], you've completed your first month at [Gym name]! [Trainer] would like 10 minutes this week to review your progress and plan the next month. Which day suits you?

What do new members want from a gym app?

New members want a gym app that answers everyday questions without a call to the desk: when the membership ends, what they owe, when their classes are and where the invoice is. They also want to book or cancel a class in a few taps.

Members stop opening an app when logins need the desk to reset them, when notifications are mostly offers, or when it shows a different end date from the desk's records.

In MyGymDesk's Member app, on the App Store and Google Play, members see their membership, dues, bookings and invoices, and book and cancel classes. Before asking members to install any gym app, check that:

  • the membership end date and dues match the desk's records;
  • class booking and cancellation work from the phone;
  • invoices and receipts can be downloaded;
  • payments go to the gym's own account;
  • the app is on both the App Store and Google Play.

FAQs

What is a good onboarding process for a new gym member?

A good onboarding process for a new gym member runs for the whole first 30 days. The member signs up and pays before arriving, gets check-in, the app and a trainer introduction on the first visit, receives short WhatsApp check-ins in weeks one and two, and has a progress review with their trainer around day 30.

How often should a new gym member check in during the first month?

A new gym member should come as often as the plan agreed with the trainer, for example the same batch on set days each week. Regularity matters more than the total number of visits, because a steady pattern becomes a habit. Gaps that grow week on week in the first month are an early signal worth a trainer's call.

What should a gym welcome message include?

A gym welcome message should include the member's first session time, the trainer's name, what to bring and when to arrive, signed by a real person at the gym. Keep the message short enough to read on a lock screen. Send the welcome message on WhatsApp the evening before the first visit, and only to members who have opted in.

Should new members install the gym's app on the first visit?

New members should install the gym's app during the first visit, at the desk, with someone showing them how to log in. An app installed and tested at the counter gets used, while a download link sent later is easy to ignore. Before the member leaves, show them where to see their membership end date and how to book a class.
