Can gym software handle both class bookings and billing?

A class credit is a billing item, so bookings and billing work best in one system. How credits, waitlists, cancellation windows, PT packages and invoices fit together.

MGD Team

Yes. Good gym software handles class bookings and billing in the same system, and it should, because they are the same records seen from two sides. A member's class pack or PT package is something they paid for, and every booking, late cancellation or no-show can use part of it. When both live in one place, credits update as members book and cancel, the waitlist moves the next member in, and the invoice matches what the member actually bought.

When booking sits in one tool and billing in another, someone at the desk becomes the bridge, copying every booking change into a register by hand. The gaps show up as members attending on expired packs and arguments about whether a late cancellation counted.

Timetables, trainers and batch times are a separate job, covered in our complete guide to class scheduling. This post is about the money side of each booking, from credits and waitlists to PT packages, invoices and a setup checklist.

Why do class bookings and billing belong in one system?

They belong together because every booking rule is also a billing rule. A class credit is one paid place in a class, bought as part of a class pack, and booking, cancelling and attending all change how many credits a member has left.

Booking eventWhat it should do to billing
Member books a classReserves one credit
Member cancels before the window closesReturns the credit
Member cancels late or doesn't turn upUses the credit, if your policy says so
Member attendsUses the credit
Waitlisted member is moved inReserves a credit from their pack and tells them
Pack reaches its validity dateUnused credits follow your expiry rule
Member buys a new packRaises an invoice and adds credits and validity

What breaks when they live in separate tools?

  • Members book and attend on expired packs, because the booking tool can't see payments.
  • Credits are deducted by hand at closing, or forgotten.
  • Late cancellations turn into arguments, because nobody can show when the member cancelled or what the rule was.
  • A waitlisted member moves into a class they haven't paid for.
  • Invoices don't match usage, so a member asking what they paid for gets three screenshots.
  • Trainer commissions come from a register that doesn't match the bookings.

Try a quick test. Pick five members at random and check that the credits left in your booking tool match what they paid for in your billing records. If even one is off, find out which tool is wrong before the next renewal.

How should waitlists and cancellation windows affect credits?

A waitlist should move the next member in automatically when a place frees up. The cancellation window, the cut-off before class after which cancelling no longer gives the credit back, decides whether a cancelled booking returns the credit.

Late cancellations and no-shows work best costing a class credit, never a cash fee. The member has already paid for the credit, so nothing needs collecting at the desk and nobody has to chase a payment. A fee, by contrast, puts the front desk in an awkward conversation with a regular in the middle of the evening rush.

Set each window so a freed place still has time to reach someone on the waitlist. Adjust the times to your members.

ClassIllustrative cancellation windowWhy
6 a.m. batchUntil 9 p.m. the night beforeNobody on the waitlist checks their phone at 5 a.m.
Midday class3 hours beforeOffice-goers plan their lunch break in the morning
7 p.m. batch4 hours beforeTime for a waitlisted member to plan the commute
Weekend workshop24 hours beforeFewer people can come at short notice

If you're choosing software for this, our top pick is MyGymDesk: any class can have a waitlist, the first person waiting is moved in automatically when a place frees up, and a late cancellation or no-show can automatically cost a class credit, not a fee. Should you sell class packs or unlimited memberships?

Sell class packs to members who come occasionally or want flexibility, and unlimited memberships to regulars who train several times a week. Many studios sell both, and the software needs to know which one each member holds, because the billing logic differs.

Class packUnlimited membership
What the member buysA set number of classes within a validity periodAny number of classes between a start and end date
What a booking checksCredits left and the validity dateMembership dates and dues
Late cancellationUses one creditNo credit to deduct, so agree a house rule in advance
Renewal momentCredits run out or validity ends, whichever comes firstThe end date
SuitsNewcomers, occasional members, people who travel for workRegulars in a fixed morning or evening batch
Watch out forPacks expiring with credits unusedRegulars filling every peak batch

Validity is where disputes start. Members travel for Diwali or a family wedding and come back to find a pack expired. Decide in advance whether you extend validity, how many times and who approves it, and print the rule on the invoice or the joining form.

Example: one member's 10-class pack (illustrative)

Priya buys a 10-class pack valid for 45 days at ₹3,000 plus 5% GST. Every number in this example is made up to show how bookings and billing move together.

DayWhat happensCredits leftBilling record
1Buys the pack and pays by UPI10Tax invoice for ₹3,000 plus ₹75 CGST and ₹75 SGST, total ₹3,150
3Books the 7 p.m. batch and attends9None
8Cancels a Saturday class two days ahead9None, credit returned
12Cancels one hour before class, after the window8None, credit used
15Moved in from the waitlist for a full Sunday class and attends7None

43Renews through a payment link12, with two carried over under the studio's ruleNew tax invoice, total ₹3,150

With two tools, the desk would copy each of these changes by hand.

How do PT packages and invoices fit in?

A PT package works like a class pack for one person: a set number of sessions to be used before a validity date. It needs the same link between booking and billing, plus trainer commissions.

Sell PT as one-to-one or couple packages, with the session count and validity on the invoice. Each completed session should reduce the balance and be recorded with its date and trainer, which settles "I still had three sessions left" arguments in seconds and gives a clean basis for commissions.

Invoices are where class and PT billing meet the tax rules. According to CBIC and the GST Council, gym, fitness, health club and yoga services have carried 5% GST without input tax credit since 22 September 2025. Within a State that is 2.5% CGST plus 2.5% SGST, between States it is 5% IGST, and the SAC is 999723. A gym must register once its aggregate turnover passes ₹20 lakh (₹10 lakh in special category States); an unregistered gym issues simple invoices or receipts without tax. Rates and thresholds change, so confirm your registration and invoice format with your CA.

Invoice a pack when it is sold, and name it with its class count and validity so it matches the booking record. Send the payment receipt on WhatsApp, and see how GST billing and invoicing handles CGST, SGST and IGST.

How do you set up class booking and billing together?

Set up the rules and products first, then classes, then members, so every booking already knows what it costs. Work through this checklist before members get the booking link.

  1. Write the policy: the cancellation window for each class type, whether late cancellations and no-shows cost a credit, what happens to unused credits at expiry, and how freezes work.
  2. Create the products: class packs with credits, validity and price; unlimited memberships with duration and price; PT packages with sessions, validity and type.
  3. Enter your GST details (GSTIN, rate, SAC code and State), or set up receipts without tax if you aren't registered.
  4. Create recurring classes with a participant limit that fits the space and the trainer.
  5. Turn on the waitlist for batches that fill.
  6. Import current members with what they hold: credits left, validity dates and PT sessions remaining.
  7. Run three test bookings on a dummy member (book, cancel early, cancel late) and check the credit count each time.
  8. Tell members the rules on WhatsApp before the first booking, and repeat them to each new member at joining.
  9. In the first week, compare attendance, credits used and payments for a handful of members.

FAQs

Can members book classes and pay through the same system?

Members can book classes and pay through the same system when the gym software includes a member portal with online payments. The member sees their pack or membership, books and cancels classes, and renews either in the portal or through a payment link, and both routes land the payment on the same member record as the bookings.

What is a class credit?

A class credit is one paid place in a class, bought as part of a class pack. Booking reserves a credit, attending or cancelling late uses it, and cancelling before the window closes returns it, so a member's remaining credits always show how much of their purchase is left.

Should a late cancellation cost a fee or a class credit?

For members on class packs, a late cancellation works best costing one class credit instead of a cash fee. The credit was bought in advance, so the deduction needs no conversation at the counter, and a cancellation window explained at joining keeps the rule predictable.

How do PT packages work in gym software?

A PT package in gym software is a fixed bundle of sessions that must be used before a validity date, sold as one-to-one or couple training. Members book a trainer's open slot, the session count drops when a session is marked done, and the trainer's commission is worked out from those completed sessions.

How MyGymDesk helps

MyGymDesk runs recurring classes with a participant limit, lets members book their own place, and moves the first person waiting in automatically when a place frees up. PT packages with a set number of sessions and a validity date sit in the same workspace as your classes and GST invoices, and a commission is created automatically for every PT session.
